Terms & Conditions

Last updated: 30 October 2026

These Terms govern your use of Soopaspace.

1. About Soopaspace

Soopaspace is a software platform that helps self-employed practitioners — coaches, instructors, therapists, and similar — run their booking and customer-management online. Practitioners ("you" or "the coach") subscribe to Soopaspace and use it to take bookings from their own customers ("bookers").

Soopaspace is operated by Black Isle Group Limited, a company registered in Scotland (company number SC809719), with registered office at 5 South Charlotte Street, Edinburgh, Midlothian, EH2 4AN. References to "we", "us", or "our" in these Terms mean Black Isle Group Limited.

You can contact us at hello@soopaspace.com.

2. Who can use Soopaspace

To create a Soopaspace practitioner account, you must:

Bookers (the customers who book sessions with a practitioner through Soopaspace) interact with the platform via the practitioner's public booking page. By making a booking, the booker agrees to receive transactional emails from us relating to that booking, on behalf of the practitioner.

3. Account responsibilities

4. Acceptable use

You must not use Soopaspace to do anything unlawful, harmful, deceptive, or that infringes someone else's rights — or anything we reasonably consider damaging to Soopaspace, its users, or their customers. This includes, but is not limited to:

These are examples, not a complete list — they don't limit the general rule above.

We may suspend or terminate accounts that breach this clause. Where we believe a breach is serious, we may also report it to relevant authorities.

Qualifications, checks and working with children

You are responsible for holding, and keeping up to date, any qualification, insurance, safeguarding training or background check that the law or your governing body requires for the services you offer, including anything required to work with children. You are also responsible for keeping records of them and showing them to parents and customers when asked.

Anything you list on your booking page must be true and current. Soopaspace does not check or verify what you list, and shows it to your customers as listed by you. Before you offer a service to children you must confirm the declaration shown in Soopaspace; we keep a record of when you confirmed it and the wording you agreed to.

Concerns about a business

Anyone can raise a concern about a business with us from its booking page. If we receive a concern about your business, we may contact you about it, and we may take your booking page offline while we look into it. Where we believe a child or anyone else may be at risk, we may pass what we have been told to the police or the relevant local authority, and we may suspend or close your account.

5. Payments and subscription terms

Practitioner subscription

Your subscription is charged at the price shown at checkout, paid in advance through Stripe, monthly or yearly as you choose. Your first payment is taken when you subscribe; paid plans have no free trial. If you were given free months with a signup code, those come first and your first payment is taken when they end. Soopaspace is business software, sold to businesses and self-employed professionals; by subscribing you confirm that you are acting for the purposes of your trade, business, craft or profession and not as a consumer. Payments are non-refundable, as set out in Section 6.

Your subscription renews automatically: each month for monthly plans, each year for annual plans. Our prices may rise over time, and we may increase the price of your plan in the future. If we do, we will give you at least 30 days' notice by email before the new price takes effect, and you can cancel at any time before then if you do not want to continue at the higher price. If you cancel and later re-subscribe, you re-join at whatever the current rate is at that time.

The free plan

You can also use Soopaspace on the free plan, with no subscription and no card. It includes your booking page, bookings and clients, and your services and availability. Features marked as paid in the product need the paid plan. If you take card payments through your booking page, we take a 1% fee on each one (see "Customer–coach payments" below). A free account that has not been signed in to for 90 days has its booking page paused; nothing is deleted, and signing in switches it back on.

The free plan has these limits. There is no cap on the number of bookings or clients. The emails Soopaspace sends for you, such as booking confirmations and new-booking alerts, are limited to 500 a month, counted from the first day of each calendar month. Once you reach 500, we stop sending further emails for you until the next month begins. Bookings are still accepted and recorded. The free plan does not send automated reminders, review requests or marketing campaigns. You can connect one calendar. Group events, classes, memberships, the shop, bundles, repeat bookings, promotions, money figures and the AI assistant need the paid plan.

Cancellation

You can cancel your subscription at any time from your billing settings. Cancellation takes effect at the end of your current billing period: you keep your paid features until then, no further charges are taken, and it does not renew. After that, your account moves to the free plan (see Section 9).

Customer–coach payments (Stripe Connect)

When Soopaspace's Stripe Connect integration is enabled on your account, your customers can pay you directly through your booking page. These payments are processed by Stripe and settle directly to your own connected Stripe account; Soopaspace does not hold them. On the paid plan, Soopaspace takes no commission or fee on these transactions. Stripe's own processing fees apply to you as the recipient.

On the free plan, we take a 1% fee on each card payment made through your booking page, on top of Stripe's own fees. Stripe takes it from the payment when it is made. If a payment is refunded, the fee on that payment is refunded too.

You are the merchant of record for these transactions. Soopaspace is not a party to the payment relationship between you and your customer.

Third-party payment processors

Stripe (and any other payment processors we use) are independent service providers, not part of Soopaspace. We are not liable for the acts or omissions of these third parties, including (but not limited to) payment failures, retries, delays, refunds processed through Stripe directly, or disputes that arise between you and Stripe.

Other services we rely on

Soopaspace also relies on other independent providers, including calendar services (such as Google, Microsoft and Apple), email delivery, hosting and database providers, and AI providers. They are not part of Soopaspace. We are not liable for their acts or omissions, including outages, delays, failed or late email delivery, or changes to how their services work.

Failed payments

If a renewal payment fails, Stripe will attempt to retry per its standard schedule. If the payment remains unsuccessful after Stripe's retry period, we may suspend or terminate your subscription. We email you when a payment fails and give you 14 days from that first failure to put it right. After that, your account is paused: paid features stop, and your booking page goes offline until the payment is sorted out.

VAT

Soopaspace is operated by a non-VAT-registered business, so no VAT is charged on the monthly subscription. If our VAT status changes in future, we will give notice before applying VAT to your subscription.

Service availability

Soopaspace currently only operates in the United Kingdom. Accounts opened from outside the UK may be terminated for breach of these Terms.

6. Cancellation and refunds

Subscription cancellation

See Section 5 above for cancellation mechanics (cancellation takes effect at the end of your current billing period).

Refunds

Payments are not refundable. Monthly and annual payments are taken in advance and are not refunded, in full or in part, once taken, including if you stop using Soopaspace part-way through a period. You can cancel at any time: you keep access until the end of the period you've paid for, and you won't be charged again. We email you before every annual renewal so you have time to cancel first.

Add-ons, including Soopa Credits and top-ups, are non-refundable once bought, because they (and the storage that comes with them) are available to you straight away; this also applies if your subscription later ends. Once a payment has been taken, you keep access until the end of the period you've paid for, with no further charges after you cancel.

The number of credits an action uses may change from time to time without notice. We always show it before you use it.

If we charge you by mistake (for example twice, or after you cancelled), we refund it in full. We may also look at exceptional circumstances case by case, at our discretion; this doesn't create a right to a refund.

Nothing in this section limits any statutory rights you may have under UK consumer law, including the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. If you believe you are entitled to a refund under those statutory rights, contact us at hello@soopaspace.com.

Coach-to-customer booking refunds

Refunds for bookings made by your own customers (where Stripe Connect is enabled and customer payments flow directly to you) are governed by your own cancellation and refund policy, displayed on your booking page. Soopaspace is not a party to those transactions and does not process refunds between you and your customers — those happen between you and the customer, via Stripe.

7. Your content

Your content stays yours

You keep ownership of everything you upload to Soopaspace — your business name, bio, photos, service descriptions, pricing, customer records, and booking notes ("Your Content"). We don't claim ownership of it.

The licence you give us to run the platform

To operate the service for you, you grant Soopaspace a non-exclusive, royalty-free licence to host, store, copy, transmit, display, and back up Your Content, solely for the purpose of operating and providing the service to you and your customers. This licence lasts only as long as your content is on the platform.

Aggregated data

We may use aggregated and anonymised data — combined across many businesses and stripped of anything that identifies you, your business, or your customers — to operate, improve, and develop our services. This includes market benchmarks, such as typical prices and booking patterns for a type of service in a region, that we may show to other businesses. Because this data does not identify any individual, it is not personal data. We never sell or share data that identifies you or your customers.

Customer-provided content

When your customers book with you, the information they provide flows to you, and you act as the data controller for it. How you handle your customers' personal data is your responsibility. Our role as your data processor is set out in our Data processing terms, which form part of these Terms, and in our Privacy Policy.

You're responsible for what you publish

You are responsible for Your Content — including its accuracy, legality, and that you have the right to publish it. You must not upload content that is unlawful, infringes someone else's rights, is misleading, or breaches the Acceptable Use terms in Section 4. Soopaspace hosts and displays the content you publish; we don't review, verify, or endorse it, and we're not responsible for it.

8. Our liability

What Soopaspace is — and isn't

Soopaspace is a software platform that helps you take bookings and run your business. We are not a party to the arrangement between you and your customers. When a customer books a session with you, the agreement to provide that session — and responsibility for the quality, safety, and delivery of it — is entirely between you and your customer. We're not responsible for the services you provide, any disputes between you and your customers, or any payments that pass directly between you and your customers.

What we're responsible for

We'll provide the service with reasonable care and skill, as UK law requires. We work hard to keep Soopaspace available and reliable, but we don't guarantee it will be uninterrupted, error-free, or always available.

Soopaspace is a young product that is developing quickly. Features may change, be added or be withdrawn, and may sometimes contain faults. Please keep your own records of important bookings and payments. You can download your client list at any time from the Clients page.

AI features

Some parts of Soopaspace use AI — for example, drafting messages, summaries, suggestions, and business insights. AI can get things wrong: it may produce inaccurate, incomplete, or misleading results. Treat anything it produces as a draft to check, not a finished answer. It is always your responsibility to review and approve AI-generated content before you rely on it, send it to anyone, or make a decision based on it. To the fullest extent permitted by law, we are not liable for any loss arising from your use of, or reliance on, AI-generated output.

Limits on our liability

To the fullest extent permitted by law:

What we can't and don't limit

Nothing in these Terms limits or excludes our liability for: death or personal injury caused by our negligence; fraud or fraudulent misrepresentation; or any other liability that cannot legally be limited or excluded under the laws of England and Wales. Nothing in these Terms affects your statutory rights as a consumer where they apply.

9. Termination

If you cancel, your paid features end at the end of your current paid period and your account moves to the free plan. Your booking page stays live, you can keep taking bookings, and your clients and booking history stay where they are. If a renewal payment fails and isn't put right within 14 days, your paid features stop and your booking page goes offline until the payment is sorted out.

When your account moves to the free plan, what you sold under the paid plan ends. Upcoming group events and classes are cancelled and the people booked in are emailed and refunded. Repeat bookings end and their future sessions are cancelled. Members on a card subscription are not billed again after the period they have already paid for. Shop items, bundles, memberships and promotions are switched off. Cancelled events and classes are not brought back if you resubscribe. We show you what this will mean for your business before you cancel.

Customers who already have bookings with you can still view, reschedule, or cancel them using the self-service link in their booking confirmation email, whatever your plan.

If you resubscribe at any point, your paid features, customer records, and saved settings are available again. Anything that was cancelled or switched off when your plan ended, as described above, has to be set up again. If a failed payment took your booking page offline, paying puts it back.

Closing your account is different from cancelling. Once your subscription has ended, you can ask to close your account from your account settings. We keep it for 90 days after you ask, in case you change your mind, and email you about 7 days before it is deleted. After that, your business, its client records and your files are deleted. You can ask us to delete sooner, or to send you a copy first (see our Data processing terms and our Privacy Policy for retention details).

We may also terminate your account if you breach these Terms, for example persistent breach of the Acceptable Use clause in Section 4.

10. Governing law

These Terms are governed by the laws of England and Wales. Any dispute arising under or in connection with them shall be subject to the exclusive jurisdiction of the courts of England and Wales, save that nothing in this section restricts a consumer's right under UK law to bring proceedings in the jurisdiction of their habitual residence.

11. Changes to these terms

We may update these Terms from time to time. If we make material changes, we'll notify practitioners by email and update the "Last updated" date at the top of this page. Your continued use of Soopaspace after such notification means you accept the revised Terms. If you don't accept them, you can cancel your subscription at any time (see Section 6).
